Terms & Conditions

DEPOSIT & BOOKING: A 50% non-refundable deposit will be required at the time of booking in order to reserve your party date and theme, payable through Cash, Venmo, or Credit Card. Payments made through Venmo or credit cards will be subject to a processing fee. The deposit will go towards the total rental cost of your party. If not received within 48 hours of your booking, your date and theme will be released. The remaining rental balance will be due 48 hours prior to delivery. Final payments not received by this time will result in the cancellation of your party with no exception.

 

Any potential damages or additional cleaning dependent on a check of all equipment will be invoiced and will require payment will be within 48 hours of the invoice date. 

 

The minimum party booking cost is $175 + 7% sales tax.

 

We must receive confirmation of the final number for your sleepover party and add-on choices no later than 14 days prior to the date of the party. If the Client chooses to downgrade the party after this time, the original booking price will still apply with no refund.

 

All bookings are for one overnight hire period.

 

All prices are subject to change, however, prices quoted at the time of booking will always be honored.

 

The costs of add-on items are non-refundable.

 

Custom theme party cost must be paid upfront and is non-refundable. Custom themes are required to be booked at least 3 weeks in advance.

 

CANCELLATION: Cancellations can be made 14 days prior to the scheduled party date. The 50% deposit is non-refundable but may be applied towards the cost of another party if held within 60 days of the original party date. If you choose to cancel our services for any reason, your deposit will be forfeited. The costs of add-on items are non-refundable.Coastal Teepee Events, LLC reserves the right to cancel your party booking at any time, for any reason. We will always try to give as much notice as possible. Upon any such cancellation we will refund the client any monies paid in respect of the party booking, within 30 days, should any refund be due. Coastal Teepee Events, LLC will not be liable to pay any compensation to the client or any other person for any loss, damage, or expenditure arising directly or indirectly from the cancellation. Coastal Teepee Events, LLC reserves the right to terminate the booking without notice if there is a breach of these conditions.

 

FINAL PAYMENT: All outstanding balances are due 48 hours prior to delivery, payable via cash, Venmo or Credit Card (processing fees may apply). The remaining balance is based on the agreed-upon number of guests and any additional items.

 

INSURANCE: Insurance is the client’s responsibility during the rental period. Coastal Teepee Events, LLC is not liable for any accidents that occur during the rental period. The client accepts all liability when renting from Coastal Teepee Events, LLC. The client is responsible for the security of the equipment at all times during the rental period. Any lost, broken, damaged, or destroyed equipment will be charged to the client at full replacement value.

 

DISCLAIMER: Coastal Teepee Events, LLC makes no representations about the suitability of the equipment for any purpose. It is provided on an "as-is" basis, without warranty of any kind, including without limitation the warranties of merchantability or fitness for a particular purpose. Some jurisdictions do not allow exclusions of an implied warranty, so portions of this disclaimer may not apply to you. You may have other legal rights that vary by jurisdiction.

 

LIABILITY TO THIRD PARTIES: We strictly provide entertainment. Please be aware that children need to be supervised by their parents or by a responsible adult member when using our equipment. Coastal Teepee Events, LLC will not be liable for any claim for personal injury, death, loss, or damage to the property however caused. Coastal Teepee Events, LLC has the final decision in all matters relating to these Terms & Conditions.

 

The client agrees that Coastal Teepee Events, LLC (including its owners, agents, employees, successors and assigns) accepts no liability for any claim for personal injury, death, loss, or negligence on the part of Coastal Teepee Events, LLC however caused. The client is solely responsible for injuries or property damage occurring due to the use of the equipment. The client assumes all liability for and agrees to defend, indemnify, hold harmless and protect Coastal Teepee Events, LLC from and against any and all liability.

 

DELIVERY & SETUP: Delivery, assembly*, collection, and general laundering are included in the hire cost unless stated otherwise.

 

Prices include delivery to a 30-minute commute from our home-base. A $25 delivery charge will be added to parties located 31-44 minutes from our home base. A $50 delivery charge will be added to parties located 45-59 minutes from our home base. Parties at an hour or more away from our home base will be charged $100 delivery fee. Additional travel charge will be added to deliveries outside of these areas. An additional fee will be added for party locations above a 2nd floor level. 

 

Delivery times will be based on an agreed upon time the date of the party. A 2-hour window for arrival will be given on the day before delivery. Set-up times will vary dependent on the number of tent rentals and additional services.

The client is responsible for being present to accept the delivery of the equipment. The client is responsible for any loss or damage incurred if He/She arranges equipment to be delivered without being present or without an authorized agent present i.e. The client is responsible for losses or damage resulting from equipment being delivered to unattended premises or location as requested by the client. The client is responsible for clearing the set-up area for event date. 

 

COLLECTION: We will arrive the day after the party, at a previously agreed upon time, to collect items.

 

*Saturday collections will typically be between 9:00 AM-11:00 AM.

 

*Sunday collections will begin after 9:00 AM

 

A quick inspection of all items will be completed at the time of pick-up to confirm there are no obvious damages or issues. A thorough inspection will be completed during the week after your party to inspect for any damages that may have been missed in the initial inspection. At this time an invoice will be issued to the renter for any damages and must be paid within 48 hours of invoice date. 

 

DAMAGES: General cleaning of all items is included in the hire price. The client will be responsible for the cost of replacing any Coastal Teepee Events, LLC equipment damaged due to mistreatment while at the client’s premises. This includes breakages of teepee frames/lights/breakfast trays, tears/holes in the teepee fabric/pillows/linens/plushes/air mattresses or damage to any miscellaneous items, or extra cleaning needed due to stains.

 

If any item is damaged or stained an invoice will be sent to the client and must be paid by the client within 48 hours.

 

Coastal Teepee Events, LLC items exposed to cigarette smoke will incur an additional $200 cleaning fee.

 

It is the responsibility of the client to take the duty of care and always supervise children with the hire

equipment. Diligence must be taken with younger children on the client’s premises as Coastal Teepee Events, LLC hire equipment is not recommended for children under the age of 5.

 

DAMAGE CHARGES: The client agrees to pay the following amounts per damaged item, should an item be damaged while on their premises:

Equipment, damage(s) and cost(s):

  • Broken or damaged teepee frame, $75 per frame

  • Broken or damaged teepee cover/fabric, $35-$60 per teepee, depending on which fabric needs to be replaced.

  • Broken, damaged, or tangled string lights, $25 per set.

  • Broken, damaged, or tangled bunting, $20

  • Broken, damaged, or tangled tulle, $10

  • Broken, damaged, or graffitied breakfast tray, $30 per tray.

  • Nail polish and/or irrevocable stains on any item of bed linen, $15-$40 per item, depending on the item type.

  • Damage to, or missing inflatables, $5-$20 per inflatable

  • Damage to, or missing, mattress, $35 per mattress.

  • Damage to, or missing, pillows, pillow cases or plushes, $25-30 per pillow/pillow case/plush.

  • Damage to, or missing, lamp, $20 per lamp.

  • Damage to, or missing strobe light(s), $25 per light

  • Damage to, or missing black lights, $40 per blacklight

  • Damage to, or missing Salon Equipment, $10-$100

  • The cost of missing or damaged additional items will be discussed at pickup or after a thorough inspection within 48 hours of pickup.

 

OWNERSHIP: All equipment remains at all times the property of Coastal Teepee Events, LLC.

 

PRIVACY: Coastal Teepee Events, LLC will never pass on, sell or distribute client information to any third party.

 

COPYRIGHT: All material on the Coastal Teepee Events, LLC website and on social media pages including photographs, design, layout, and graphics are owned by Coastal Teepee Events, LLC and are copyrighted. Unauthorized use is prohibited.

 

PHOTOGRAPH & VIDEO RELEASE: It is agreed that Coastal Teepee Events, LLC may display and use video and photographs from the decorating session and event for a website, internet promotion, and any other non-commercial purposes thought proper by Coastal Teepee Events, LLC. All videos or photographs are subject to be posted on all social networking sites for promotional purposes only. The client is responsible for advising Coastal Teepee Events, LLC in writing of any photos or videos he/she wishes not to be publicized. Coastal Teepee Events, LLC possesses full ownership of all video and photos of the decorating process and final setup photographed by Coastal Teepee Events, LLC and or its affiliates. Therefore, Coastal Teepee Events, LLC has permission to place their name and logo on any photographs taken by Coastal Teepee Events, LLC .

 

ENTIRE AGREEMENT: I understand that this is the entire agreement between me and Coastal Teepee Events, LLC , its agents or employees and that it cannot be modified or changed in any way by the representations or statements of any employees of Coastal Teepee Events, LLC or by me. My signature below indicates that I have read this entire document and agree to be bound by its terms.
